Documents
Upload contracts, guidelines or meeting notes. Each document is split into passages and prepared for search automatically, and can be linked to a customer.
Semantic search
Search by meaning, not by exact words: “When can the contract be terminated?” finds the notice period even if the text says “cancellation”. Every hit names its source file.
Ready for AI assistants
Through the Model Context Protocol (MCP), AI assistants can search the knowledge base, read a customer and log an activity – with exactly the rights of the signed-in user.
How the knowledge search works
- Upload. A text document is stored securely in Azure.
- Prepare. It is split into passages; an AI model turns each passage into a vector that captures its meaning.
- Ask. Your question is turned into a vector too, and the closest passages of your organisation are returned.
Built for trust
- Single sign-on with Microsoft Entra ID and three roles: reader, editor, admin. Every request is checked on the server.
- Strict separation of organisations. Every read and every search is limited to the organisation of the signed-in user.
- Data stays in the EU. Stored in Frankfurt; AI processing within the EU data zone.
- No stored passwords or keys. Services authenticate with managed identities.
- Traceable. Every change and every search is recorded in an audit log.

CRM-Lite keeps your customers, their activities and documents in one place and lets you search the documents in plain language. You only see data of your own organisation.
Your role
What you can do depends on the application role an administrator assigned to you. Your role is shown next to your name; it is highlighted below.

Customers and activities
- Open the Customers tab and click a row to see the details, or click New customer.
- Change the fields and click Save. Tags are separated by commas; the country is a two-letter code such as DE.
- Under Activities, choose call, meeting, e-mail or note, write a short summary and click Add.
If someone else saved the same customer in the meantime, you get the message “Someone else changed this record”. Close the customer, open it again to load the latest version, and repeat your change.
Documents
- Upload text files only: .txt, .md, .csv or .json, up to 5 MB. PDF and Office files are not supported yet.
- Optionally link the document to a customer, so you can filter the search by that customer.
- Status indexed means the document is searchable. failed means the file is stored but could not be prepared for search; an admin can delete it so you can upload it again.
Search tips
- Ask a question in your own words, for example “When can the Nordlicht contract be terminated?”. The search finds passages with the same meaning, even if they use other words.
- Use the customer filter to search only documents linked to one customer.
- Each hit shows the file name, the passage number and a score (higher = closer match). Words from your question are highlighted.
- Your recent searches appear as buttons under the search field; click one to run it again. The list is kept only in this browser tab and disappears when you close it.
- Press Enter to search and Esc to clear the field.
Messages

| Not signed in or the session expired | Sign out and sign in again. |
| Access denied | Your role does not allow this action. Ask an administrator if you need more rights. |
| No application role is assigned | An administrator has to assign you the role reader, editor or admin. |
| Too many requests | You searched very often in a short time. Wait a minute and try again. |
| Validation failed | A field has an invalid value, for example an e-mail address or country code. The message names the field. |
Good practice
- Do not store passwords, bank details or health data in customers, activities or documents.
- Deleting cannot be undone. Every change is recorded in an audit log.
